Free Printable Bridal Shower Planning Checklist: Pearls & Prosecco

Two bridal shower planning checklists side by side, one in blush pink Pearls and Prosecco design, and one in dusty blue floral design.

Planning a bridal shower well comes down to one thing more than any other: knowing what needs to happen and when. Without a clear timeline, even simple tasks (sending invitations, confirming the cake, prepping favors) have a way of piling up in the final week before the party. This free printable checklist breaks the entire process into five manageable phases — from the very first planning conversation through the day of the celebration itself — so nothing gets missed along the way.

It's available in two coordinating design styles: a soft Pearls & Prosecco blush pink version, and an elegant Blue Floral & Pearls version. The checklist content is identical in both — choose whichever palette matches your shower's color scheme, or simply whichever one you love more.

Table of Contents

What's Included in This Checklist

This is a genuinely detailed planning tool — seven pages in total, covering five distinct timeframes plus a cover page for recording the bride's name, event date, venue, and host, and a final blank page with extra checklist lines for anything specific to your own celebration.

The five planning phases:

  • 8–10 weeks before: Core planning and concept

  • 6–8 weeks before: Invitations, décor, and catering

  • 3–4 weeks before: Games, details, and confirmations

  • 1–2 weeks before: Final preparations

  • On the day: A complete day-of running order

Each task on the checklist comes with a short, practical sub-note — not just "book the venue," for example, but a reminder to check capacity and parking too. This is what separates this checklist from a generic to-do list: the small, easy-to-forget details are built directly into each task.

The Five-Phase Planning Timeline

8–10 weeks before — Core Planning & Concept This phase covers the foundational decisions: confirming the date with the bride and key guests, setting the budget and splitting costs between co-hosts, choosing a theme or color palette, drafting the guest list, booking the venue, deciding whether it's a surprise, and recruiting a team of co-hosts or helpers to divide up the workload.

6–8 weeks before — Invitations, Décor & Catering With the foundation set, this phase moves into the details guests will actually see: sending invitations (with date, time, location, dress code, RSVP deadline, and registry link included), creating a registry sheet, ordering or DIY-ing decorations, planning the menu, ordering the cake, planning beverages (a signature drink for the bride is a nice touch), choosing party favors, and arranging a photographer or photo corner.

3–4 weeks before — Games, Details & Confirmations. This phase is about finalizing the experience itself: locking in the guest count after the RSVP deadline, planning the event's program and timeline, choosing and prepping games, arranging prizes, sorting out the bride's sash or accessories, preparing a guest book or memory activity, building a playlist, and confirming every vendor booking.

1–2 weeks before — Final Preparations The final stretch focuses on logistics: shopping for non-perishables, setting up the gift-opening station, assembling and labeling favors, baking or picking up desserts, assigning specific day-of tasks to each co-host, prepping a small emergency kit, sending a reminder to confirmed guests, and checking the weather with a backup plan in place if needed.

On the day — Everything Is Ready The final page is a genuine day-of running order: arriving early for setup, styling the tables and photo booth, arranging food and drinks, displaying the cake, welcoming the bride properly, assigning someone to log gifts as they're opened (this one's easy to forget and genuinely useful for writing thank-you notes later), giving a toast, handing out favors as guests leave, taking a group photo before people start heading out, and cleaning up within the agreed time.

Choose Your Design: Pearls & Prosecco or Blue Floral

Both versions of this checklist contain identical content — only the color palette and illustration style differ, so you can pick whichever fits your shower's aesthetic.

Pearls & Prosecco: A soft blush pink palette with watercolor peonies, strings of pearls, a delicate bow, and a glass of sparkling rosé in the corner of each page. This version suits a romantic, feminine shower theme particularly well.

Blue Floral & Pearls: A cooler, dusty blue palette with watercolor roses and daisies, pearl strands, and a glass of champagne in the corner of each page. This version pairs naturally with a dusty blue or "Something Blue" bridal shower theme.

If you're planning a "Something Blue" themed shower specifically, this checklist's blue design pairs beautifully with our full Something Blue Before I Do bridal shower guide →, which covers color palette, invitations, decor, food, games, and favors for that exact theme.

How to Use This Checklist Effectively

Print it as soon as you start planning. Even a shower that's months away benefits from having a single physical reference point from the very first conversation, rather than scattered notes across texts and emails.

Use the extra blank lines for your specifics. Each phase includes a couple of additional blank checklist lines beyond the pre-filled tasks, and the final page offers a full page of blank lines — use these for anything unique to your celebration, whether that's a specific vendor follow-up or a personal touch for the bride.

Treat the phases as flexible, not fixed. If your shower is smaller or more casual, several tasks can be combined or skipped entirely. If it's a larger, more elaborate celebration, you may want to start the 8–10 week phase even earlier.

Hand a copy to your co-hosts. Since several tasks are explicitly about dividing responsibilities, giving each co-host their own copy (or at least visibility into the full list) helps avoid the common situation where everyone assumes someone else has a particular task covered.

Tips for Each Planning Phase

On the "surprise or not" decision: This is worth deciding firmly and early, since it affects how every other task gets communicated — invitation wording, registry sharing, and even what you can post on social media beforehand all depend on this one decision made in the first planning phase.

On the day-of gift log: Assigning someone specifically to record "gift + giver" as presents are opened is one of the most commonly skipped tasks on this entire checklist — and one of the most regretted omissions afterward, since it's the information the bride will need for writing thank-you notes in the weeks following the shower.

On the emergency kit: A small kit with a glue gun, scissors, tape, safety pins, a stain-removal pen, and basic pain relief covers the vast majority of small day-of mishaps — a torn hem, a leaking gift bag, a minor décor repair — without requiring an emergency store run in the middle of the celebration.

On the backup weather plan: For any outdoor shower, deciding on the backup plan (tent, fans, heaters, or an indoor alternative space) during the 1–2 week phase — rather than the morning of — gives you enough time to actually rent or arrange whatever the backup requires.

FAQ: Bridal Shower Planning Checklist

What's the difference between the two checklist designs? Nothing beyond the color palette and illustration style. The Pearls & Prosecco version uses a blush pink palette with peonies and pearls, while the Blue Floral version uses a dusty blue palette with roses and daisies. All planning content, tasks, and timeframes are identical between the two.

How far in advance should I start planning a bridal shower? Most hosts begin serious planning 8–10 weeks before the shower date, which is when this checklist's first phase begins. Smaller or more casual showers can often compress this timeline into 4–6 weeks total.

Can I print this checklist at home? Yes. The file is formatted for standard US Letter size, making it easy to print at home on any standard printer, though many hosts choose a local copy shop for a slightly more polished, heavier cardstock finish.

Is this checklist suitable for any bridal shower theme? Yes. While the two available designs are styled in a blush pink or dusty blue palette, the planning tasks and timeline themselves are universal and work for any bridal shower theme or aesthetic.

What if I'm co-hosting with someone else — can we both use this checklist? Definitely. Several tasks on the checklist are specifically about dividing responsibilities between co-hosts, so it works especially well when each co-host has their own copy or shared visibility into the full list.

Is there a matching theme guide for the Blue Floral design? Yes. The Blue Floral checklist pairs naturally with our Something Blue Before I Do bridal shower guide, which covers color palette, invitations, decor, food, games, and favors for that specific theme.
