Printable Baby Shower Planning Checklist - How It Works

This is a printable template. When you download and print it, you get a single beautifully designed page with clearly organized sections and blank fields — ready for you to fill in by hand with your own tasks, dates, and notes.

Think of it as a planning canvas. The structure is already there. You bring the details.

This approach works well for baby shower planning because every shower is different. Your guest list, venue, theme, budget, and timeline are unique to you — a blank template adapts to all of that in a way that a pre-filled checklist simply can't.

Why a Printed Checklist Works Better Than a Notes App

It's tempting to keep everything on your phone. But for baby shower planning — especially when you're coordinating with co-hosts, vendors, and family members — a printed checklist has real advantages:

Everything is visible at once. No scrolling, no switching between apps, no trying to remember which note you saved the vendor's number in. Your whole plan fits on one page.

It's easy to share. Bring it to a planning meeting with your co-host, leave it on the kitchen counter for your partner to check, or photograph it to send to whoever is helping with food. A single printed page travels and shares better than a dozen digital lists.

You can write freely. Add notes in the margins, draw arrows between tasks, cross things out, and rewrite them. Paper is flexible in a way that apps aren't.

It stays visible. Stick it to the fridge or pin it above your desk. When your checklist is physically in front of you every day, tasks don't quietly fall off your radar.

It feels satisfying to use. There's something genuinely motivating about crossing things off with a pen. Small wins keep momentum going across weeks of planning.

What to Write in Your Baby Shower Planning Checklist

Since the template arrives blank, here's a guide to help you fill it in with confidence. These are the planning tasks that matter most — in roughly the order you should tackle them.

6–8 weeks before the shower

  • Confirm the shower date with the mom-to-be

  • Lock in the venue — home, restaurant, garden, or rented hall

  • Set your total budget and agree on cost-sharing with any co-hosts

  • Decide on the theme and color palette

  • Agree on the format — daytime or evening, women-only or co-ed

4–6 weeks before

  • Finalize the guest list and collect contact details

  • Send invitations — physical, digital, or both — with a clear RSVP deadline

  • Book any external vendors: caterer, florist, photographer, cake baker

  • Order custom decorations if lead time is needed

2–3 weeks before

  • Follow up with guests who haven't RSVP'd

  • Confirm final headcount with vendors

  • Finalize the menu and write a complete shopping list

  • Choose and source party favors

  • Plan games and activities — print any activity sheets in advance

1 week before

  • Confirm all bookings

  • Buy non-perishable food, drinks, and paper goods

  • Prepare DIY decorations

  • Wrap prizes and host gifts

  • Brief co-hosts on the day-of schedule

Day before

  • Set up the venue if access allows

  • Prepare food that keeps well overnight

  • Lay out all supplies, ready to go in the morning

Day of the shower

  • Arrive early and finish decorating

  • Set up food, drinks, and activity stations

  • Welcome guests and enjoy every moment of the celebration you put together

Tips for Filling In the Checklist

Use a pencil first. Dates and tasks shift during planning. Writing in pencil lets you adjust without the page becoming a mess — then go over your final version in pen once things are confirmed.

Add your own sections. The template has a clean structure, but you know your shower best. If you need a section for gift tracking, dietary restrictions, or transport logistics, write it in.

Assign initials next to tasks. If you're co-hosting, write the responsible person's initials next to each item. It removes ambiguity and makes delegation effortless.

Print more than one copy. Keep one at home for daily reference and give a copy to your main co-host. If plans change significantly, print a fresh one rather than working from a heavily crossed-out version.

Tips for Printing at Home

  • Paper: Standard US Letter (8.5" x 11") bright white paper. For a nicer feel, use 90 gsm rather than standard copy paper weight.

  • Print quality: Select "Best" or "High Quality" in your printer settings for crisp, clean lines.

  • Test print: Always run one copy first — screen colors and print colors differ. Check alignment before printing several copies.

  • Black and white: The design prints cleanly in black and white if you want to save color ink.

  • Lamination tip: If you want a reusable version, print it and laminate it, then use a dry-erase marker. Wipe and reuse for the next celebration you plan.
